Privacy Policy

This policy explains what Smartify AI (“SmartifyAI,” “we,” “us”) collects, why we collect it, and what we do with it. It covers both this website and the internal assistant application we operate, referred to below as the Application.

Who we are

Smartify AI is an AI consulting and automation business serving Greater Phoenix and the United States. For any privacy question, or to request deletion of your information, contactinfo@smartifyai.com or call 602-316-7459. We respond to privacy requests within 30 days.

Information collected through this website

If you submit our contact form or request a free SEO audit, we collect what you enter — typically your name, email address, website address, and your message. We use it to respond to you and to keep a record of the enquiry in our customer relationship management system. We do not sell it.

Our hosting provider processes standard request information such as IP address and browser user agent in order to serve the site and protect it from abuse.

Google user data accessed by the Application

The Application is an internal tool. It is operated by SmartifyAI and used by a small number of authorized operators to manage their own work accounts. It is not a consumer product and is not offered to the general public. Access is possible only for accounts that have been explicitly granted it.

When an operator connects a Google account, the Application requests only the permissions it needs to perform the tasks that operator asks of it:

• Read Gmail messages and settings — to summarize a mailbox, locate a message, and understand a thread before replying.
• Compose, modify and send Gmail messages — to draft replies for the operator, apply labels, and send mail the operator has directed it to send.
• Read Google Calendar and manage calendar events — to show upcoming commitments and create or amend events at the operator’s request.

We request read-only permission where read-only is sufficient. We do not request permission to access Google Drive files, contacts, photos, or location.

How that data is used

Google user data is used only to carry out the task the operator has asked for at that moment — summarizing a mailbox, drafting a reply, sending a message, or scheduling. It is not used for advertising. It is not sold, rented, or shared with data brokers. It is not used to build profiles of the people who appear in an operator’s mailbox.

Service providers

To carry out those tasks, message and calendar content may be transmitted to third-party artificial intelligence model providers that process it and return a result. That processing is what allows the Application to summarize a thread or draft a reply. We use providers whose terms prohibit using content submitted through their business offerings to train their general-purpose models. Content is sent only as needed to complete a requested task.

Beyond those providers, we do not transfer Google user data to anyone, except where we are legally required to do so or where it is necessary to investigate a security incident or suspected abuse.

Limited Use

The Application’s use and transfer of information received from Google APIs adheres to theGoogle API Services User Data Policy, including its Limited Use requirements.

We do not use Google user data to develop, improve, or train generalized artificial intelligence models. We do not allow humans to read Google user data except with the affirmative agreement of the account holder, for security purposes such as investigating abuse, to comply with applicable law, or where the data has been aggregated and anonymized.

Storage and security

Google account credentials are held in encrypted form on hardware controlled by SmartifyAI and are never shared. Message and calendar content is processed to fulfil a request and is not retained as a permanent copy beyond what is needed to complete the operator’s task and maintain short working context. Access is restricted to authorized operators.

Retention and deletion

Website enquiry records are kept for as long as we have a business relationship with you, and then removed on request. Google account access can be withdrawn at any time by the account holder atmyaccount.google.com/permissions, which immediately revokes the Application’s access. To have stored data deleted, emailinfo@smartifyai.com and we will delete it and confirm.

Your rights

Depending on where you live, you may have the right to see the personal information we hold about you, to correct it, to have it deleted, and to ask us not to sell or share it. We do not sell personal information. Write to info@smartifyai.com to exercise any of these rights.

Children

Our services are for businesses. They are not directed at children under 13, and we do not knowingly collect their information.

Changes

If we change this policy we will update the date at the top of this page. Material changes affecting how we handle Google user data will be reflected here before the change takes effect.
