AI Opportunity Assessment: Find Where AI Helps
Decide before you spend: a short, ranked list of where AI pays off in your business.
We look at how work moves through your business, then rank each idea by effort against payoff. Some items become builds. Some become training. Some are marked "not yet," and that is a real answer.
- What it includes
- A ranked listBuilds, training, and "not yet" items, each weighed by effort and payoff
- Typical timeline
- Set by scopeMore systems and departments take longer. There is no fixed length.
- Who it is for
- Teams with several problemsand no clear sense of which one costs the most
What the assessment covers
The assessment starts with your work, not with tools. The question is not "what can AI do?" It is where your team loses time, repeats the same mistakes, or waits on each other. Once that is clear, you can judge which of those spots AI would fix and which it would only make messier.
- Where the hours go. Retyping data between systems, answering the same customer questions, booking appointments, building the same weekly report.
- The systems you already run. Your CRM, help desk, phone setup, and shared files. Is the data clean, and can a tool reach it? Messy customer records get repeated faster by AI.
- How your team uses AI today. Who already uses chat tools, what they paste into them, and whether anyone has set rules.
- Risk and guardrails. Which data cannot leave your walls, and what your brand should never say in an email or chat reply.
- Effort against payoff. Each idea is weighed on how hard it is against how much it helps. That ranking is what an AI Opportunity Matrix lays out.
Signs you are ready, and signs to wait
You do not need a big budget or a tech team. You need a real problem you can point to and someone who will act on what comes back.

Good time
Start the assessment
- You can name the task that eats your week in one sentence.
- Your team already pastes work into chat tools and nobody is sure what is allowed.
- You tried an AI app and usage flattened within a few weeks.
- Calls and leads slip through after hours or replies go out a day late.
- A vendor is pitching you an AI product and you want your own view first.
Wait
Settle the basics
- Your process changes every month. AI would lock in a moving target.
- Nobody has the time or authority to follow up on a ranked list.
- Your records live in people's heads, with no CRM or written steps.
- You want AI only because everyone else has it.
Not sure which problem to start with?
Tell us what eats your week. We will say whether an assessment, a narrower fix, or nothing yet is the right move.
When you can skip the full assessment
A full assessment suits a business with several possible problems and no clear winner. If you can name one problem, paying someone to rank a list with one item on it does not help. Go straight to the fix.

The problem is how your team uses AI
Uneven results and no rules is a skills gap. A short workshop or prompt lab comes first. See AI training and development.
The worry is being found
If leads dropped or ChatGPT never names you, that is a search problem. The AI SEO Agent works on it directly.
One task is obviously the pain
Missing calls after hours is the whole story? Look at a voice agent without mapping everything else.
You only need a yes or no
Can your data and systems support AI at all? The AI Readiness Audit is narrower and faster.
Your CRM, help desk, or email platform may also include an AI feature that covers the task. Try the one you already pay for before you hire an outside review. If you can name five problems and cannot tell which one costs the most, that is when a full assessment earns its keep.
How to vet an AI consultant when there is no license to check
AI consulting is not a licensed trade in Arizona or anywhere else in the country. No board to search, no license number. A badge from a short online course shows someone took a class, not that they ranked real work for a real business and lived with the result. Vet the person, not the paperwork.
- Ask for names. Real clients you can look up beat "a Fortune 500 company." We work with American Express, CourtsApp, and BGR, among others.
- Ask what they told a client not to do. If every idea turned into a build, the assessment may be a sales step.
- Ask who pays them. Some consultants earn money from the tools they recommend.
- Ask for a sample of the output. You want a short ranked list, not a deck full of buzzwords.
- Ask what happens to your data and what they will never paste into an outside AI tool.
- Ask what your team keeps. When training is the answer, the skill should stay with your people.

What happens after the assessment
You are holding a short, ranked list. The next step is not to act on all of it. Pick one item, give it an owner, and see it through before you touch the second. Most items land on one of four paths.

Your team learns it
When the gap is skills or rules, the answer is training: better prompts, guardrails, and a way to check output. Prompt Engineering Labs and AI Playbook and Guardrail Development fit here.
You fix how customers find you
If search came up as the weak spot, the AI SEO Agent handles the ongoing work in Google and in AI assistants.
Something gets built
When a task needs a new system, roadmap planning sets the order, and a small pilot tests it before you commit.
It waits
Some items land as "not yet." Write down what would need to change, such as cleaner records or a settled process, and come back to it then.
Start with the item that is quick to try and easy to judge. A small win your team can see builds trust for the harder items. Before you change anything, write down how the task works today, so a month from now you can tell whether things got better or just different.
Revisit the list every few months. A process you cleaned up may move a "not yet" item into the ready column. We work with businesses in Scottsdale, Phoenix, and across the United States.
What it costs
The price of AI Opportunity Assessment depends on what you need, so we scope it with you before we quote. A short call is enough to get a number, and it never sits behind a form.
Four things move the price up or down.
- Scope. A single team or process costs less than several departments in one engagement.
- How many people or systems are involved. More staff to train, or more tools to connect, means more time.
- How ready your information is. Clean, documented processes and data shorten the work. Scattered ones add prep.
- What happens afterward. A one-time deliverable costs less than work that includes follow-up support or ongoing upkeep.
Whoever you hire, ask what is included, what counts as extra, and who owns the result when the work ends. Ask us for a quote.
Questions we get
What is the difference between an AI Opportunity Assessment and an AI Readiness Audit?
The assessment ranks where AI could help across your whole business. The readiness audit answers one narrower yes-or-no question: can your data and systems support AI at all. If your only worry is one specific task, the audit is faster.
How long does an AI Opportunity Assessment take?
The scope sets the length, not a fixed calendar. A business running several tools across departments takes longer to map than one with a single simple process.
Does the assessment include building the automation or training my team?
No. The assessment gives you a ranked list first. You then choose whether an item points to training, search work, a build, or waiting. Nothing gets built just because it appeared on the list.
Can my team do this review without outside help?
Yes, if you know exactly what is wrong and only one process is in question. If you are juggling several possible problems while running daily operations, it is hard to give the review focused attention.
Decide before you spend
A short conversation is enough to know whether a full assessment fits. If it does not, we will point you to the direct fix.
